Overview:
The Administrative Professional plays an essential
Clerical, Administrative, Document Publishing, and Organizational role to the overall
operations of the company as well as oversight of the day-to-day operations
of the business office.
A typical day for the Administrative Professional
requires hands-on tasks such as transcription, mail distribution, fax
administration, telephone reception, forms completion, travel and meeting planning,
basic computer
accounting tasks, and computer and manual records and file maintenance.
The Administrative Professional must have
strong desktop publishing and web publishing skills in order to create,
maintain, and update all company marketing materials, private and public web
sites, and all company books and manuals.
Ongoing responsibilities of the Administrative
Professional are simplifying recordkeeping systems (computerized
and manual) and reviewing performance standards to create new systems and
revise established procedures.
A cornerstone of the company's
business
plan is
based on 100% remote access to standardized computer based business systems and
processes for all administrators, managers and supervisors.
A primary
function of the Administrative Professional will be to implement
new technological processes, and to assist with the conversion to
an all digital document format,
document imaging, Internet/Intranet communications, publishing and research,
document creation and publishing such as templates, forms, manuals, and
handbooks in digital and copy format.
Primary Responsibilities:

Professional and effective representation of the
company via phone and meetings with vendors, employees, and associates

Letter composition and correspondence via phone, fax,
and e-mail

Document Control: Administer and improve computer
file library standards, file sharing, file linking, standardized file
naming conventions, archiving, and document imaging

Desktop publishing of forms, templates, manuals,
flyers, brochures, with Microsoft Publisher, Word and Excel

Intranet/Internet publishing
with Microsoft FrontPage and
-
Supervising and training newly hired administrative
staff
Skills and Experience Sought:
- Willing to take initiative and
a
desire and the time to learn
and grow with the company
- Advanced computer, Microsoft Office, Network, Internet, Email, Adobe Acrobat Professional
- Intermediate computer, imaging, scanning, desktop
and web publishing (FrontPage experience helpful)
- Excellent composition and presentation, written,
and oral skills; team-oriented; friendly but self-motivated
- Basic computerized accounting knowledge and experience
(MAS90 experience helpful)
- Understanding of work flow and document
sharing concepts
- Results oriented with an ability to
understand a project, work independently and see it through to final
completion
- Ability to multi-task and adjust focus based upon
changing priorities

Industry helpful
- Prior Administrative Assistant (or similar)
experience, 5 years preferred
